Description

Performs a full range of administrative support duties for a dealership location. Directs phone calls received to the appropriate personnel. Consistently exhibits Midwest Machinery Company's core values of Commitment, Passion, Progressiveness, Integrity, and Value Delivery.

Responsibilities:

  • Receives visitors and telephone calls in a pleasant and efficient manner ensuring these individuals are directed to the proper parties within the dealership
  • Prepares bank deposits and balances cash receipts
  • Records standard accounts receivable entries on a daily and monthly basis
  • Submits accounts payable invoices to Accounting Department
  • Maintains accounts receivable records/data base records
  • Distributes mail and maintains dealership files
  • Prepares outgoing mail
  • Drafts and types standard letters and memoranda as requested and prepares documents for distribution
  • Provides administrative support to the sales, parts, and service department
  • Orders office supplies for location personnel
  • Maintain JDAIM data
  • Collect sales tax exemption forms and forward to Accounting Department
  • Interacts in a positive and respectful manner with customers and fellow employees
  • Submits bi-weekly payroll hours to Accounting Department
  • Process John Deere Financial contracts for sales staff
  • Reviews purchase orders ensuring information is accurate and submits supporting paperwork to the Accounting Department
  • Run errands for business as required
  • Manage Thank You letters and send them to customers
  • Stock, maintain and clean showroom products and display areas as directed
  • Provide support for location functions (i.e., customer appreciation, birthday recognition, etc.)
  • Miscellaneous filing and other administration support as directed.
  • Assist in parts Department including but not limited to helping at the parts counter and putting away stock orders
  • Return Warranty Parts as requested by manufacturers
  • File all shortage and overage claims with manufacturers
  • Assist Service Manager with administrative functions
  • Shreds sensitive documents on a regular basis
  • Manage location vending machines, including stocking, product selection, cash, etc.
  • Performs other duties as assigned

Qualifications

  • Solid clerical expertise
  • General accounting knowledge
  • Strong people and communication skills
  • Excellent organizational skills
  • Ability to use standard desktop load applications such as Microsoft Office
  • High School degree
  • Experience in similar position of 3.5 years or longer

Physical, Mental and Other Requirements:

  • Valid drivers license with an insurable driving record required
  • Must pass a pre-employment background study and credit check
  • Frequent bending and stooping
  • Ability to lift up to 50 lbs.
  • Ability to work extended hours and weekends as needed
  • Work performed will be a mix of office, shop and outdoor environments
